Inkjet printers have a low purchase price, but operation costs exclude them from being a “smart” purchase for anything but occasional printing. The most inexpensive form of printing is shared (networked) mono laser printing at 2 to 3 cents per page. Pages printed by inkjets cost up to 8 times more than laser printing. Locate shared printers central to the users who print to it. The best shared printers are those with a print server built directly into the device. These printers cost slightly more but payoff in reliability and consistent uptime. Since they look the same as the standard models make sure your model includes the network feature.
 
Networked copiers and Color Laser Printers may be a good addition (not a replacement) to the mono laser printer ONLY if there is enough “copier” and “color” work to justify them.  Using these devices as a single solution for all purpose printing is not recommended due to the high operation and maintenance costs they require. Some organizations keep a few inkjet printers on hand to print the occasional color page. For higher volume in-house color printing, a color laser printer might make sense. Someone who works with sensitive information may justify the use of their own printer over using a pubic printer share. A staff who works with payroll records is an example.
 
  • Consider a printer with a built in duplexer which allows for automatic printing on both sides of the page. This is often denoted with a "D" in the model number.
  • The more standard trays and memory a printer has the faster it will work and be able to effectively serve larger groups.
  • Consider the printer’s speed, measured in pages per minute (ppm); higher ppm means higher price tag
  • The Recommended Monthly Volume, or “duty cycle”, refers to the recommended maximum of pages printed per month that the printer is designed to support.
  • Before purchasing, always compare the cost of printer consumables, maintenance and availability. Carefully examine the COMPLETE list of a printer's consumables (toners, fusers, etc..) and determine from their life cycle the real cost per page before you buy.
